The Tuition College Examination Centre
Terms and Conditions
Effective from 14/11/2025
- General Information
1.1 These Terms and Conditions apply to all exam services provided by The Tuition College Examination Centre, based in Longsight, Manchester (“the Centre”).
1.2 By submitting an application to sit an exam with us, you (the “Candidate”) — or your parent/guardian if under 18 — agree to these Terms and Conditions.
1.3 The Centre operates as a JCQ-compliant private exam venue and follows the regulations set by the Joint Council for Qualifications (JCQ) and relevant awarding bodies (including AQA, Pearson Edexcel, OCR, and WJEC).
1.4 The Centre reserves the right to amend these Terms and Conditions at any time to reflect updated JCQ requirements or operational changes.
- The Application and Entry Process
2.1 All applications must be submitted via our official online application form.
2.2 You are responsible for ensuring that all details entered on your application form are accurate and complete, including correct subject codes, exam boards, and personal information.
2.3 Your entry will not be processed until:
- The application has been reviewed by our Exams Officer;
- Your ID has been verified; and
- Full payment of all applicable fees has been received and cleared.
2.4 Once confirmed, you will receive a Statement of Entry showing your registered exams, entry codes, and exam timetable.
2.5 The Centre is not responsible for errors arising from incorrect or incomplete information provided on your application form.
- Fees and Payment
3.1 Fees for each qualification type and exam series are published on our website and may vary depending on awarding body charges and session demand.
3.2 All fees must be paid in full before the entry can be processed with the awarding body.
3.3 An invoice will be issued once your application has been reviewed and approved by the Exams Officer.
3.4 Payments can be made by bank transfer, debit/credit card, or secure payment link.
3.5 Once payment has been received and cleared, the candidate’s entry will be made with the relevant awarding body.
3.6 Entries submitted after the awarding body’s first entry deadline will incur late entry fees.
3.7 The Centre reserves the right to withdraw or cancel an entry if payment has not been received in full by the due date.
3.8 Any bank, card, or transaction fees are the responsibility of the payer.
3.9 Exam fees are non-transferable between candidates or exam series once payment has been processed.
- Refunds, Cancellations, and Changes
4.1 Candidates may withdraw their exam entry before the awarding body’s first entry deadline (as published by JCQ and the relevant exam board).
4.2 If a candidate withdraws before the first entry deadline, 50% of the total exam fee will be refunded. The remaining 50% will be retained by The Tuition College Examination Centre to cover administration and processing costs.
4.3 Once the first entry deadline has passed, no refunds will be issued under any circumstances. After this point, the awarding body charges the Centre in full for each entry, even if a candidate withdraws or does not attend.
4.4 Refunds are not available for candidates who fail to attend their exam, arrive late, or are disqualified due to a breach of JCQ regulations.
4.5 In the event of illness or other serious circumstances preventing attendance, candidates may apply for special consideration in accordance with JCQ guidelines. However, this process does not guarantee a refund, as fees will already have been incurred with the awarding body.
4.6 If an awarding body cancels or reschedules an exam, the Centre will follow JCQ guidance and either:
- Transfer the entry to a new date or exam series; or
- Offer a credit or refund if authorised by the awarding body
4.7 All refunds (where applicable) will be made by the same payment method used for the original transaction and processed within 14 working days of approval.
- Identification and Verification
5.1 All candidates must provide:
- One valid photographic ID (passport, driving licence, or biometric card), and
- One proof of address dated within the last three months.
5.2 These must be uploaded at the time of application and presented again on exam day.
5.3 Candidates who fail to provide valid ID will not be permitted to sit their exams and will not be eligible for a refund.
- Access Arrangements
6.1 Access Arrangements are adjustments approved by JCQ or the relevant awarding body to ensure that candidates with disabilities, learning difficulties, or medical conditions are not disadvantaged.
6.2 Candidates must indicate any need for Access Arrangements on their application form.
6.3 Requests will only be processed once the £120 Access Arrangements assessment fee has been paid.
6.4 This fee covers the cost of evidence gathering, SENCo assessment, and completion of the JCQ Form 8.
6.5 As a private exam centre, The Tuition College does not hold prior school records. Our SENCo will therefore liaise with schools or professionals, conduct assessments, and prepare the required documentation.
6.6 The final decision to grant Access Arrangements rests solely with JCQ or the awarding body, not with The Tuition College Examination Centre.
6.7 Exam spaces and facilities for Access Arrangements (e.g. small rooms or laptops) are allocated on a first-come, first-served basis due to limited availability.
6.8 The Access Arrangements fee is non-refundable once the evidence-gathering process has begun.
- Exam Conduct and Regulations
7.1 All exams are conducted in accordance with JCQ Instructions for Conducting Examinations (ICE).
7.2 Candidates must arrive at least 30 minutes before the exam start time. Late arrivals may not be permitted entry.
7.3 Candidates must bring all required equipment (e.g. pens, rulers, calculators) in compliance with awarding body regulations.
7.4 Mobile phones, smart watches, and other electronic devices are strictly prohibited in the exam room.
7.5 Any form of malpractice (including cheating, using unauthorised materials, disruptive behaviour, or providing false information) will result in immediate disqualification and may be reported to the awarding body.
7.6 Candidates must follow the instructions of invigilators and Centre staff at all times.
7.7 Breaches of exam regulations may result in removal from the exam room and/or exclusion from future exams.
- Results and Certificates
8.1 Provisional results are released on official JCQ results days.
8.2 Certificates are issued by awarding bodies several weeks later.
8.3 The Centre will notify candidates when certificates are available for collection or postal dispatch.
8.4 The Centre is not responsible for delays in the issue of results or certificates by awarding bodies.
8.5 Certificates not collected within 8 months of issue will be securely destroyed. Replacement certificates must be obtained directly from the awarding body.
- Reviews of Marking and Appeals
9.1 Requests for reviews of marking or appeals must be submitted in writing before the awarding body’s published deadline.
9.2 All applicable fees must be paid in full prior to submission.
9.3 The outcome of a review or appeal is determined solely by the awarding body.
9.4 Fees are non-refundable if the grade remains unchanged.
- Centre Responsibilities
10.1 The Centre will ensure that all exams are administered securely, fairly, and in full compliance with JCQ regulations.
10.2 The Centre will notify candidates promptly of any timetable changes or emergencies.
10.3 The Centre is not responsible for any errors, delays, or changes made by awarding bodies, including the loss of scripts, amended grade boundaries, or revised results.
10.4 In the event of unforeseen circumstances (e.g. building closure, power failure, or severe weather), the Centre will activate its JCQ Contingency Plan.
- Candidate Responsibilities
11.1 Candidates (and parents/guardians where applicable) must ensure that all personal details, contact information, and subject entries are correct.
11.2 Candidates must read all communications from the Centre carefully, including Statements of Entry and timetable updates.
11.3 Candidates are responsible for attending exams on the correct date and time.
11.4 Candidates must behave respectfully towards all staff and invigilators.
11.5 Aggressive, threatening, or inappropriate behaviour will result in immediate removal and potential withdrawal from exams.
- Limitation of Liability
12.1 The Centre’s liability is limited to the accurate administration and conduct of exams in accordance with JCQ regulations.
12.2 The Centre is not responsible for:
- Changes to exam timetables or formats made by awarding bodies;
- Delayed or missing results or certificates;
- Candidate mistakes in entry details or specification codes;
- Non-attendance or missed deadlines.
12.3 Nothing in these Terms limits the Centre’s liability for death or personal injury caused by negligence, or for fraud or fraudulent misrepresentation.
- Communication and Complaints
13.1 The Centre welcomes feedback and aims to resolve all concerns promptly.
13.2 Complaints must be submitted in writing to exams@thetuitioncollege.co.uk
